OCC
Room Scheduling
By Gale
Etherton
God
is blessing us with continued growth at OCC and with this growth
there is an increased need of our facilities for meetings and
other functions. These guidelines are to help us use our resources
in the most efficient way possible to support an expanding congregation.
Also, we need to take necessary precautions to limit our liability
in areas such as fire safety and security.
Facility Use Priority
- 1) Activities sponsored by OCC ministries, 2) Member
events (Bridal/Baby showers, anniversaries, special occasion events),
and 3) Outside non-profit organizations – (must have a responsible
church member associated with the group)
How to Schedule
OCC Facilities:
- It is imperative
that all planned activities be reserved on the OCC Master calendar.
Individuals reserving facilities should cancel their reservation
(by calling the church office) if their event is canceled.
- All rooms are
scheduled using a Room
Request Form which is available in the church
office. The form must be completely filled out before an event
can be scheduled.
- Rooms may not
be used unless scheduled. Short notice requests can be satisfied
by calling the office.
- All scheduled
rooms will have a single individual identified to be accountable
for the group's activities.
- The Worship
Center main floor will not be available after 5 pm on Saturday
or before 2 pm on Sunday.
Users agree to leave the
room in the condition it was accepted. Trash should be placed
in trash containers and taken to the dumpster; and clean bags
put in the containers.
Furniture, audio/visual
or other items will not be moved from one room to another unless
identified on room request form. All furniture and equipment MUST
be returned to its original space.
If the meeting/event is
scheduled after office hours, keys will be needed for access to
the building. The keys may be picked up from the office not more
than 2 days prior to the event and must be returned within one
day after the event on weekdays, and for weekend events, keys
must be returned on Monday.
- Church facilities are not available for fund raising
events of any type.
- No groups or individuals soliciting business for personal
or corporate profit will use the facilities.
